What we collect, why, and how you can control it.

Who we are

KM Translation AS ("we", "us", "our") is the data controller for the personal data described in this policy. We are based at Arnebråtveien 27B, 0771 Oslo, Norway. Org.nr 914 286 530 MVA. You can reach us at support@km-translation.com or +47 912 99 853.

What personal data we collect

We collect the personal data you give us directly: Name, email address and phone number — when you request a quote, place an order, or contact us. Postal address — only when an order includes physical delivery (for example, a certified hard copy sent by post or courier). Company name and organisation number — when you order or request a quote as a business. Payment-related information — handled entirely within the payment step at checkout; we do not store card numbers. The content of documents, files or recordings you send us for translation, transcription, subtitling or interpreting preparation — which may itself contain personal data about you or third parties. Technical data, such as IP address and browser type, collected automatically when you visit the site, and analytics data (only after you consent).

Why we process your data, and our legal basis

Preparing a quote and responding to your enquiry: legitimate interest / pre-contractual steps at your request. Processing and fulfilling an order (translation, revision, delivery): performance of a contract. Invoicing and bookkeeping: legal obligation (Norwegian bokføringsloven). Postal or courier delivery of physical items: performance of a contract. Cookie-based site functionality (cart, checkout): necessary for the service you've requested. Analytics (Google Analytics 4): consent — only after you opt in via the cookie banner. Responding to correction requests within the 14-day window: performance of a contract.

Cookies and analytics

We use a small number of cookies and browser-storage keys, listed in full on our Cookie Policy. Necessary cookies keep the site and your cart working and are always on; Google Analytics 4 only runs if you actively opt in through the cookie banner, and nothing analytics-related loads before that choice is made. Change your choice at any time via Cookie settings in the footer.

How we handle the files you send us

Files you send for translation, proofreading, transcription or interpreting preparation are used only to carry out the order or quote you requested. They are handled under GDPR, viewed only by the translator(s) and reviser(s) assigned to your job, and are not used for any other purpose. We keep source files for 90 days after delivery so we can help with a correction or a follow-up job, then delete them — unless you ask us to keep them longer or delete them sooner. A mutual NDA is available on request, at no extra cost, before you send anything you consider especially sensitive.

Who we share your data with

We don't sell your data. We share it only with: translators and revisers working on your order, bound by a signed confidentiality undertaking; payment processing — the current checkout uses a demonstration payment step that does not transmit or store real card data anywhere; delivery providers (Posten/Bring or a courier) — only your name and delivery address, and only when your order includes physical delivery; analytics — Google Analytics 4, only after you consent; authorities, where we're legally required to disclose information.

International transfers

Where a processor we use is located outside the EU/EEA, any transfer of personal data is made under an appropriate safeguard recognised by GDPR, such as the European Commission's Standard Contractual Clauses.

How long we keep your data

Order and enquiry files: source files are kept for 90 days after delivery, then deleted, unless you ask for a different schedule. Invoicing and accounting records: kept for the period required by Norwegian bokføringsloven (currently 5 years). Quote requests that don't proceed to an order: kept for up to 12 months, then deleted. Analytics data: retained per Google Analytics 4's standard retention settings, only for visitors who have consented.

Your rights

Under GDPR and the Norwegian Personal Data Act (personopplysningsloven), you have the right to: access the personal data we hold about you; have inaccurate data corrected; request deletion of your data (subject to our invoicing and legal retention obligations); object to or restrict certain processing; request a copy of your data in a portable format; and withdraw consent (for analytics) at any time. To exercise any of these rights, contact support@km-translation.com. You also have the right to lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet), Postboks 458 Sentrum, 0105 Oslo — datatilsynet.no.

Security

We handle personal data, including the documents you send us, with reasonable technical and organisational safeguards appropriate to the sensitivity of the material. Every translator and reviser signs a confidentiality undertaking before seeing your document.

Children

Our services are directed at adults ordering translation, interpreting or related work. We don't knowingly collect personal data from children.

Changes to this policy

We may update this policy from time to time, for example if our data practices or the law change. The "last updated" date at the top reflects the current version.
